Cost and quotes

What Hidden Costs Do Cleaning Companies in NYC Add to the Invoice?

Most unexpected charges are not hidden at all. They are items that sat outside the scope from the beginning and were never discussed: consumables, periodic floor work, after-hours freight operators, additional attendance, and supply increases at renewal. Ask for the exclusions in writing before you ask for the price, and the surprises disappear.

The Usual Items

Consumables. Soap, paper and liners. Either the company supplies them or you do, and both work, but the unstated arrangement is where the charge appears. Settle who purchases, who refills and who watches stock levels.

Periodic floor work. Carpet extraction and hard-floor restoration are almost never inside a nightly fee, and they should not be, because they are scheduled work with their own hours. What matters is that the rotation is agreed in writing at the start rather than quoted as a surprise when the floor starts to look tired.

Freight elevator operators. Many buildings require an operator outside standard hours, and many handbooks describe the charge as prevailing without publishing a figure. Establish with your managing agent whether it sits inside the company's fee or is passed through to you. This alone can account for the whole difference between two quotes.

Additional attendance. A same-day visit after an incident, an extra clean before a client visit. Ask how these are charged before you need one.

Waste beyond the building's collection point. Taking refuse to where the building collects it is normally included. Removing it from the premises to an off-site facility is a different service with its own licensing.

Increases at renewal. Ask how and when the fee is reviewed, and whether the agreement renews automatically.

How to Close Them Off

Ask one question before you discuss price: what is explicitly excluded from this figure? Get the answer in writing and read it. Exclusions move the number more than square footage does, and every item above is reasonable as an exclusion and unreasonable as a surprise.
